Our client, one of the largest oil traders in the United Kingdom, required a dynamic reporting solution which would provide insights into their market positions and P&L for their front, middle and back office management. Their newly implemented Commodity Trading and Risk Management solution only provided a standard range of generic reports. However, these static built-in reports added little value to the client's operations.
The client had two options. They could either initiate a Greenfield development project or choose an off-the-shelf reporting solution to build upon their existing infrastructure and systems. Though a Greenfield development provides advantages such as the client having complete control and ownership over the Intellectual Property and the system being developed, there are also many limitations. Developing custom reports would cause the IT department of the company to become an information bottleneck or make the business reliant on external consultants. Providing real time analytics and dash-boarding capabilities would be a huge challenge for a custom report. In addition, the reporting needs were bound to change over time and introducing dynamic reports would cost significantly in time and resources.
Our Business Analytics team was set to task with this challenge. Their goal was to provide the client with a solution which would be easy to use, but without compromising on the complexity of the reports. Other factors kept in mind were the security of proprietary data, seamless integration with the existing IT infrastructure, serving the needs of front, middle and back office teams of the client and cost effectiveness.
Our team decided to implement a management dashboard using BI 2.0 to serve the needs of the client. The dashboard was a powerful yet easy to use ad hoc reporting solution that could be used by end users and IT professionals of the client alike. The solution had high compatibility with the current systems but also provided scope for integration with more sophisticated technologies to avoid issues with future development plans of the client. However, most importantly, the dashboard provided real time information to the management while maintaining enterprise level administration tools to keep the data secure.
The implemented management dashboard was able to serve the reporting needs of users across the front, middle and back office of the client keeping enterprise level administration and security systems safe and secure while giving the right people the entitlements to use data relevant to their roles. The solution provided by our team gave users the capability to generate a wide range of reports from a single integrated location. It had a low learning curve in which users could access ready to use reports or build their own customized reports with minimal training keeping the cost of implementation low.
Our client is a large third-party logistics provider in the United States operating millions of square feet of warehousing space for various government and private companies and is responsible for mission critical functions of corporations and the government. The client's customers trust it with valuable inventory, order management and accounts receivable management worth hundreds of millions of dollars each month. To earn and maintain this trust, our client needed to ensure that it provided its customers with timely and accurate reporting, very often customized to their individual needs.
However, for a logistics company, building a technology team to handle reporting on IBM Cognos (the preferred BI solution of their ERP system) was an unnecessary diversion from their core skillset. The client needed a dedicated long-term partner who would assist them in day-to-day planning and execution and provide a scalable solution for their growing needs.
Prosperitas set out alongside the client to put together a dedicated team of young and dynamic individuals who understood the logistics industry and had extensive experience in reporting and analytics. Our depth of working with IBM Cognos from version 8 to 10 made implementation of the process technically simple, and the industry background allowed Prosperitas to deliver usable information without taking away a lot of the client's time.
Over time, the teams put together an exhaustive list of reports which would give the client's customers extensive visibility into the day-to-day functioning of their projects, product inventory and collections.
With the basic set of reporting prepared and delivered to all customers, the team set out to enable system integrations for customer systems, do customized reporting to fit in snugly into customer MIS and dashboarding needs. Moving further ahead, the team set up reporting automation, created reconciliation systems and power tools for the client and its customers both to identify gaps in process implementation and reduce process errors.
The joint efforts of the client and Prosperitas teams enabled the client to create a niche for itself in the industry as a provider of high performing and customized systems and services. While the extensive stock reports were sufficient to get any customer started, customization requests were delivered with lightning-fast turnaround times.
The reporting efforts reduced compliance burdens, made month-end reporting and reconciliations easier to manage and made transparency with customers the top priority for our client.
The team currently manages reporting needs of over 100 customers, delivering over 20,000 reports every month. Customer data requests were brought down to near zero while data security was tightened.
The client is a liaison for a major government funded grant administration body, and manages the grant distribution and reporting system for the State. The system used by more than 60 universities in the state was built more than a decade ago. It was put together based on standard paper reports at that time, with no customization capabilities, not user-friendly, difficult to navigate, and above all, not adaptable to future changes. The users of the system spent countless unproductive hours in just data entry. Each user ended up designing their own mini-systems to get the information that was insightful and useful to them. The system catered to just creating the standard reports required to comply with the reporting needs of the State.
System users and the State wanted a new system that would cater to the needs of all stakeholders, so that everyone could focus on their core jobs of providing student support. The wanted a system that was easy to use, flexible, scalable, and customizable.
Our team met with the various users of the system to better understand the processes and needs of the different stakeholders. It was important to understand what tasks different users performed, how they recorded their data, what information was helpful to them in performing their duties. We outlined each process and the requirements.
Our team developed a blue print of a new system that would meet the needs of the users including dashboarding capabilities, and user friendly interface.
Easy Readability: The Business Process Document created took a business perspective of the system design. The document was easy to read and understand by managers and decision makers, requiring zero technical know-how.
Improved understanding by End Users: End Users could use the Business Process Diagrams to understand the rules behind the screens they use every day. Increased awareness and education about the application helped improve the quality of data it captures.
Future Road-Map: The process documentation enabled us to chart out an improvement road map for the existing application while using the design of the current application as the basis for development.
Cost Effectiveness: We were able to provide high quality deliverables and work for our client using our off-shore team which resulted in cost effective and timely delivery of work.
